Choose a School Carnival Date

Fridays and Saturdays are very popular dates for a school carnival. Keep in mind that many parents work until after 5pm, so Friday carnivals will occur later. The later the carnival goes, the higher costs you will have for light tower rentals outside. If your school has a Friday off for a teacher meeting or holiday, consider having your carnival the night before. A carnival is the perfect kickoff to a long weekend!

Determine your School Carnival Goals

Is your school carnival intended to just be a good time for the kids or are you looking at it from a fundraising opportunity? Many schools get off-track with trying to focus too much on "making" money on the carnival. Forgetting the fun is a major mistake.

Find Vendors!

Find the companies you will be using for your carnival. You need to make sure the vendors you choose for your school carnival carry the proper insurance that your school district requires. This can be a disastrous mistake the day of the carnival if your vendor is not properly insured. This is especially true of inflatable rental vendors.

Find Volunteers!!!!

Getting volunteers to help the day of the carnival is the HARDEST part of any school carnival. Keep in mind that parents often want to hang out with their kids the day of the carnival, so they may not want to volunteer. Keep the carnival short, around 3 hours, so that you only have to have two shifts of volunteers. The fewer the volunteer shifts you have, the fewer you will need to coordinate and find. ALWAYS COORDINATE MORE VOLUNTEERS THAN YOU THINK YOU NEED!

Keep Great Records

After your carnival has occurred you need to sit down with each committee and determine what worked well and what did not. It is a good idea to do this a few days or a week after the carnival, not the night of the carnival. You want the memories of the carnival to be fresh, but not emotional. Take note of what can be improved for next year and what should stay the same. Most importantly make sure the notes are passed to next year's committees so they can be used!
