Tips for Great Volunteers at a Grad Night
When you are hosting a grad night the most important thing you can do is have volunteers to help you supervise the grads and keep the night safe for all involved.
How to find volunteers
The best volunteers for a grad night are parents and teachers. Parents and teachers have the best interests of the kids at heart. Most parents and teachers are more than willing to spend the evening with their grads. If you cannot find enough parents and teachers to chaperone the grad night you may want to find volunteers from local churches or the police station. May times off-duty police officers will help out at grad nights.
Work the volunteers in shifts
Don’t expect your volunteers to stay with you the whole night. If they do, that is great! You may need to work the volunteers in 3 or 4 hour shifts instead. This is great because it will keep the volunteers fresh and prevent them from losing interest in keeping the grad night location safe and secure.
Get more volunteers than you think you need
If you think you need 10 volunteers for your grad night, get 15! In all likelihood you will have a few volunteers that will cancel at the last minute. If every one of your volunteers show up that is great! You can never have too many volunteers for a grad night.
Make shirts for volunteers
Have shirts made for your volunteers that stand out from the crowd. Have them made in a bright color like orange or yellow. This will let you spot them in the crowd of graduates. This will also let the kids spot the volunteers if they need something.
Reward your volunteers
Provide plenty to eat and drink for your volunteers. If possible, provide a “break room” for them to rest and grab some water, a soda, and some sugary treats! Keeping your volunteers fed and hydrated will be key to grad night success.
What to have the volunteers do through the night
You need to post a volunteer at each entrance or exit of the grad night venue. Be sure to be explicit in their purpose for the evening. They are there to keep the kids safe and help make the night flow well for everyone. They are not there to socialize or participate in the entertainment. They are there as volunteers, but they need to follow through and keep things orderly for the entire evening.
Volunteers will be the key to a successful grad night. Be sure to have plenty of responsible volunteers. You can’t have a great grad night without them!
